About the Role
We are seeking a highly organised and proactive Site Administrator to support daily operations, working closely with site management, technicians, contractors, and corporate teams, you will be responsible for ensuring the smooth coordination of site administration, compliance documentation, and reporting activities. This role is critical in maintaining efficiency across the project and supporting the safe, compliant delivery of all works, on a major Wind farm based in regional VIC, near Ararat.
Duties
- Provide administrative support to site management and project teams, including scheduling meetings, managing documentation, and coordinating site communications.
- Maintain accurate records of permits, inductions, and compliance documentation.
- Assist with contractor and visitor management, including onboarding, site access, and safety compliance.
- Coordinate travel, accommodation, and logistics for site personnel.
- Support payroll and timesheet collation for site-based employees and contractors.
- Manage purchase orders, invoices, and general procurement processes in line with company procedures.
- Prepare reports and data entry for project tracking, compliance, and operational efficiency.
- Act as the first point of contact for site enquiries, ensuring professional and timely responses.
- Previous experience in a site administrator, project administrator, or similar role (construction, renewables, or heavy industry preferred).
- Strong organisational and time management skills with excellent attention to detail.
- Confident in Microsoft Office Suite (Word, Excel, Outlook, SharePoint) and able to learn new systems quickly.
- Knowledge of site safety and compliance processes within construction or energy projects (desirable).
- Ability to work independently and as part of a diverse project team.
- Strong communication and interpersonal skills, with the ability to liaise effectively across multiple stakeholders.
